I used the IMAP email to ticket template (which is really good). I adjusted it to support attachments and removed the AI analysis (as I didn’t need it). Then published the folder as a template (private/default - visible to the space only).
But I can’t seem to find a way to use the template, it doesn’t seem visible anywhere when I select to create new from template.
Am I missing something? Or is this a bug?
Also, if I select the folder and go to ‘view original template’ I get ‘Template not found’.
But if I select ‘republish’ I see the template is there and it allows updating to 1.0.1.
Would be great if it was possible to duplicate a folder (so that the references etc. will work, like when using a template) without needing to create a template, for quick testing flexibility.
Also, is it possible to delete a template? - Not just archive.
The “View original template” error is a known bug, I was able to reproduce it and have already submitted it to the product team.
If you’d like to duplicate a folder, you can use the bika.fileexport and import feature for now.
Templates can be deleted completely: first delete the template source from your space, then go to the Template Center and delete the template there as well.
If it doesn’t, it means the template wasn’t successfully published.
If it does, click Republish and check the Template Visibility setting:
If it shows “Template application coming soon”, this is a known issue we’ve already recorded — you can republish it and set the visibility to “Template application within the space”.
If it shows “Public template application”, try searching the template by name in the Template Center to see if it appears as a public template.
Hope this helps — let us know if you still can’t find it after trying these steps.
So the icon is the same (the 4 droplet type icon).
I am certain that I published it with the ‘Template application within the space’, I checked the docs prior to publishing to ensure the correct setting was used.
When I click Republish, I see ‘Template application within the space’ as the current visibility and version number 1.0.1 pre-filled.
When I published originally, I did select ‘Publish Data’ as true. If that is relevant.
Thanks @Thea and sorry for the slow response, I appreciate your help. I may try your last suggestion soon (I have not made any further changes or attempts since my last reply) - but it may not be necessary now. As it appears I have a feasible way to access the template now.
I tried using the ‘view original template’ option now on this template and it successfully shows the template. So that seems to be an improvement since before. So this issue below seems ok now:
So via this page, I can successfully get the link to my template and presumably make use of it by installing/duplicating it. I have confirmed that the link is not publicly viewable also, I can only view it while signed in (presumably only in my space).
Remaining issue
Template is not visible here:
New issue
When going to the new resources dropdown inside the space and selecting ‘New from template’. I get this error:
Is there any more docs or tutorials on how the templates work? I wasn’t able to find info about what ‘detach from template’ does in these docs.
Main things I am not sure about:
What does ‘detach from template’ do? Can I ‘reattach’ afterwards (or something to the same effect)?
When creating a template, what exactly is included in the ‘data’ for the ‘Publish Data’ option?
If I create a template i.e. IMAP email to ticket template based on the Bika community one, but modified. Then I use that template for two different email addresses, with different connections etc. Once cloned, they are essentially branched off from the template and totally independent? Or if I update the template, the changes can sync (automatically or manually) between the two environments using that template?
Are there any recommendations or best practices for a case like I am describing in terms of using templates? I assume that the template itself shouldn’t be used for real usage and only be used for updating the template itself.
Hi @log Question 1: When going to the new resources dropdown inside the space and selecting ‘New from template’ Answer: Sorry for the inconvenience caused. We will prioritize the fix and notify you as soon as it’s resolved. Thank you.
Question 2: What does ‘detach from template’ do? Can I ‘reattach’ afterwards (or something to the same effect)? Answer: Once detached from the template, the template publisher will no longer be able to push updates to it.
Question 3: When creating a template, what exactly is included in the ‘data’ for the ‘Publish Data’ option? Answer: The data within the tables will be published to the template center along with the template.
Question 4: If I create a template, i.e. an IMAP email-to-ticket template based on the Bika community one, but modified. Then I use that template for two different email addresses with different connections, etc.—once cloned, are they essentially branched off from the template and totally independent? Or if I update the template, can the changes sync (automatically or manually) between the two environments using that template? Answer: Once you install a template from the template center, modify it, and publish it again, your version becomes independent from the original in the template center. Any updates you make and republish will apply only to your own published version and will not affect the original template in the template center.
Question 5: Are there any recommendations or best practices for a case like I am describing in terms of using templates? I assume that the template itself shouldn’t be used for real usage and only be used for updating the template itself.
Answer: If the template is to be used by members of the same space station, it can be published within the current space station, or used via import/export of the “bika.file”.The co-creation (collaborative) template feature is not yet fully developed.
Thank you very much @pengjin - that helps clarify significantly. I appreciate it!
Also, just adding more feedback:
If I navigate to the direct url of the template e.g. https://bika.ai/template/template-name
Then try to install it, there is a modal with a dropdown allowing you to choose the space. It will not install though and simple redirect to your space.
If I go to the template file though, then click ‘View original template’, then I can see the same template in a modal. If I use install via this modal, installation works as expected. The install modal is a bit different in this case, as there is no dropdown to select the space.
Anyhow, just a heads up. I am able to sufficiently make use of templates now.
I spoke too soon unfortunately. For some reason, the ‘Support Tickets’ table after installing from the template shows this permission issue. The template itself is fine though and the database/sheet is viewable for the template itself, but that database/table is not viewable in the two installed copies of this template.
Hi @log
Question1: Then try to install it, there is a modal with a dropdown allowing you to choose the space. It will not install though and simple redirect to your space.
Answer1: Thank you for your feedback. We have successfully reproduced the issue on our end. I will ask our technical team to work on a fix, and we’ll notify you as soon as it’s resolved. Apologies for the inconvenience caused to your experience.
Question2: Regarding the issue where the message “You do not have permission to view the content of this link” appears after installing the template?
Answer2:
I was able to open the template normally after installing it from the Template Center. May I ask if the template you installed is one that you published as a public template? If so, could you please share the name of the template with me? I’ll try installing it on my end to see if it works properly.
The issue has been reproduced. I have reported it to the technical team for prompt fixing. We will notify you as soon as the fix is implemented. Sorry for the inconvenience caused
